  • Exercise of rights: identification data (surname, first name, e-mail, telephone number, company, function, copy of ID card if necessary as proof to exercise the right of access, rectification or opposition or to comply with a legal obligation).

The personal data collected is primarily processed in order to conclude and process contracts with our members and partners, to provide information to members and partners and to comply with our legal obligations at home and abroad. Your data will be processed for the following purpose(s):

We use the instant messenger service WhatsApp. The service provider is the American company WhatsApp Inc, a subsidiary of Meta Platforms Inc. WhatsApp Ireland Ltd, 4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland is responsible for the European region.

We want to stay in touch with you and WhatsApp is one of the best ways to do this. Firstly because the service works, and secondly because WhatsApp is still the most widely used instant messaging tool in the world. The service is practical and enables uncomplicated and fast communication with you.

WhatsApp is a service provided by a provider from the USA. Personal data is therefore also processed in a third country.

An adequate level of data protection is guaranteed on the one hand by the conclusion of the so-called EU standard contractual clauses. WhatsApp undertakes to comply with European data protection law. e.      Use of social media plugins from Signal Messenger

We use the messenger service Signal Messenger on our website and in our communications. The service provider is the American company Signal Messenger LLC, 650 Castro Street, Suite 120-223 Mountain View, CA 94041, USA.

Signal Messaging is an open source application that allows us to communicate securely and privately via text messages, voice or video calls. The tool was founded in 2014 by Moxie Marlinspike and Stuart Anderson. Signal works on iOS, Android and desktop. An important feature of Signal is also the end-to-end encryption. This encryption ensures that messages or calls can only really be read, seen or heard by the people involved. Even the developers of Signal cannot decrypt the messages.

Of course we want to stay in communication with you. When we had to decide on a messenger, our choice quickly fell on Signal Messenger. As data security is very important to us, we really appreciate the option of encrypted communication that the tool offers us. There are also other security settings such as automatic data deletion and two-factor authentication.

Signal also processes data in the USA, among other places. We would like to point out that, in the opinion of the European Court of Justice, there is currently no adequate level of protection for data transfers to the USA. This may entail various risks for the legality and security of data processing.

Signal uses standard contractual clauses approved by the EU Commission (= Art. 46. para. 2 and 3 GDPR) as the basis for data processing with recipients based in third countries (outside the European Union, Iceland, Liechtenstein, Norway, i.e. in particular in the USA) or data transfer to these countries. These clauses oblige Signal to comply with the EU level of data protection when processing relevant data outside the EU. These clauses are based on an implementing decision of the EU Commission.

f.      Using Zoom

We would like to inform you below about the processing of personal data in connection with the use of "Zoom".

We use "Zoom" to conduct telephone conferences, online meetings, video conferences and/or webinars (hereinafter: "online meetings"). "Zoom" is a service provided by Zoom Video Communications, Inc. which is based in the USA. Its corporate headquarters are located at 55 Almaden Boulevard, San Jose, CA 95113.

Zoom is one of the world's most popular video conferencing solutions.

When you use Zoom, information is also collected from you in order for Zoom to provide its services. If you access the Zoom website, the Zoom provider is responsible for data processing. However, accessing the website is only necessary to use "Zoom" in order to download the software for using "Zoom".

You can also use "Zoom" if you enter the respective meeting ID and, if applicable, further access data for the meeting directly in the "Zoom" app.

If you do not want to or cannot use the "Zoom" app, the basic functions can also be used via a browser version, which you can also find on the "Zoom" website.

Various types of data are processed when using "Zoom". The scope of the data also depends on the data you provide before or during participation in an "online meeting".

The following personal data are subject to processing:

  • User details: first name, last name, phone (optional), email address, password (if "single sign-on" is not used), profile picture (optional), department (optional).
  • Meeting metadata: Topic, description (optional), participant IP addresses, device/hardware information.
  • For recordings (optional): MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text file of online meeting chat.
  • For dial-in with the telephone: information on the incoming and outgoing call number, country name, start and end time. If necessary, further connection data such as the IP address of the device can be stored.
  • Text, audio and video data: You may have the opportunity to use the chat, question or survey functions in an "online meeting". In order to enable the display of video and the playback of audio, the data from the microphone of your terminal device and from any video camera of the terminal device are processed accordingly during the meeting. You can switch off or mute the camera or microphone yourself at any time via the "Zoom" applications.

To participate in an "online meeting" or to enter the "meeting room", you must at least provide information about your name.

We use "Zoom" to conduct "online meetings". If we want to record "online meetings", we will transparently inform you in advance and - if necessary - ask for your consent. The fact of the recording will also be displayed to you in the "Zoom" app.

If it is necessary for the purposes of logging the results of an online meeting, we will log the chat content. However, this will not usually be the case.

In the case of webinars, we may also process questions asked by webinar participants for the purposes of recording and following up webinars.

If you are registered as a user with "Zoom", then reports of "online meetings" (meeting metadata, telephone dial-in data, questions and answers in webinars, survey function in webinars) may be stored by "Zoom" for up to 12 months.

If, in connection with the use of "Zoom", personal data is not required for the establishment, implementation or termination of the employment relationship, but is nevertheless an elementary component in the use of "Zoom", Art. 6 para. 1 lit. f) EU-GDPR is the legal basis for the data processing. In these cases, our interest lies in the effective implementation of "online meetings".

In addition, the legal basis for data processing when conducting "online meetings" is Art. 6 para. 1 lit. b) EU-GDPR, insofar as the meetings are held within the framework of contracts.

Furthermore, the legal basis for data processing when conducting "online meetings" is Art. 6 para. 1 lit. b) EU-GDPR, insofar as the meetings are conducted within the framework of contractual relationships.

If there is no contractual relationship, the legal basis is Art. 6 para. 1 lit. f) EU-GDPR. Here, too, our interest is in the effective conduct of "online meetings".

Personal data processed in connection with participation in "online meetings" will not be disclosed to third parties as a matter of principle, unless it is specifically intended for disclosure. Other recipients: The provider of "Zoom" necessarily receives knowledge of the above-mentioned data insofar as this is provided for in the context of our order processing agreement with "Zoom".

"Zoom" is a service provided by a provider from the USA. A processing of personal data therefore also takes place in a third country. We have concluded an order processing agreement with the provider of "Zoom" that complies with the requirements of Art. 28 EU-GDPR.

An appropriate level of data protection is guaranteed on the one hand by the conclusion of the so-called EU standard contractual clauses. Zoom undertakes to comply with European data protection law. g.       Use of social media plugins from YouTube

We have integrated YouTube videos into our online offering, which are stored on http://www.YouTube.com and can be played directly from our website. In principle, when you access a page with embedded videos, your IP address is sent to YouTube/Google and cookies are installed on your computer.  However, we have embedded our videos in "extended data protection mode", i.e. no data about you as a user will be transmitted to YouTube/Google if you do not play the videos. Only when you click on the video to play it will the following data be transmitted

  • Content of the request (specific page)

By visiting our website and playing the videos, YouTube/Google receives the information that you have accessed the corresponding subpage of our website. If you are logged in to Google, this data is assigned directly to your account. If you do not wish to be associated with your YouTube profile, you must log out before activating the button. In addition, YouTube/Google also stores data if you do not have a Google user account: IP address, search queries, browser and operating system version.

YouTube/Google stores the aforementioned data as user profiles and uses them for the purposes of advertising, market research and/or customising its website.
